Version Number
AutoVitals requires a specific version number of StockTrack to work properly with AutoVitals.

Configuration must be 3.6.0.13 or higher

Point of Sale must be 3.6.0.44 or higher (3.6.0.50 available as of 9/21/22)
Information Sent from StockTrac to AutoVitals
Employees
When a new employee is created or an existing employee is modified or deleted, employees must be sent to AutoVitals.

Appointments
If your AutoVitals package includes workflow management, appointments will automatically appear on the Today’s Vehicle Page (TVP) in the Today’s Appointments column when they’re created or updated:
Note: If your AutoVitals package does not include workflow management, appointments and estimates will not appear on your Today’s Vehicle Page (TVP). Only repair orders will appear on the TVP.
Work Orders
Creation & Sending to AutoVitals
StockTrac allows users to define their own statuses. The integration with AutoVitals uses status numbers instead of the status names:

Statuses 1-5: considered an estimate and do NOT go to the Technician in AutoVitals

Statuses 6-16: considered a repair order in AutoVitals and DO go to the Technician, with jobs approved

Status 17: (Billed Out) is considered an invoice and is closed in AutoVitals
AutoVitals is updated within seconds each time a user selects Save Estimate within StockTrac if the status is 6-16:
Work Order Items
When a package is selected on the RO and it contains labor & parts, they’ll be grouped together:
If an RO has a part, but there is no labor with the same category, a new labor line will be added in StockTrac. Customize the default labor line in StockTrac by adding your preference in Default Part # for Labor Parts:
Note: If a labor line exists in StockTrac in the same category, no new labor line will be created by default.
Closing Out the Work Order
Changing the status in StockTrac to status 17, Billed Out, will close the RO in AutoVitals:
Note: If your AutoVitals package includes CRM functionality, it is important AutoVitals receive the closed RO in order to send the Thank You message and calculate future service reminders.
Technicians
Technicians can be assigned in StockTrac OR in AutoVitals.

Technicians assigned in StockTrac will automatically transfer to AutoVitals

If no Technicians are assigned in StockTrac, a user can assign work within AutoVitals from the Tech View
TIP: Best practice is to use AutoVitals for dispatching since it is easy to view each Technician’s workload and availability in one place.
Information Sent Back from AutoVitals to StockTrac
Vehicle Information
Each time an RO is opened in StockTrac, the following vehicle info will be updated automatically from AutoVitals:

Odometer in/out
-
VIN
-
License plate
Technician Job Assignments
Version 3.6.0.56+
If there are any jobs assigned to Technicians other than the default Tech, that Technician assignment will be applied to the corresponding jobs in StockTrac:

Customer-facing notes on the job in AutoVitals will be added to the corresponding job in StockTrac:
