Getting Started: Repair Order Creation

When START JOB is pressed on an Estimate with a valid customer and vehicle information, it's pushed to AutoVitals and will appear on the Today's Vehicle Page (TVP). AutoVitals receives the Repair Order details with associated customer and vehicle information.
The following information is required:
- Customer name
- General vehicle information (Make/Model)
- START JOB is pressed to convert the Estimate to a Repair Order
Note: a labor line is not required to trigger tile creation but should be included on every Repair Order.
How to Send Information from AutoVitals to Shop Ware
On the Today’s Vehicle Page (TVP) in AutoVitals, there are 2 options to send information back to Shop Ware:

Update VIN/ODO: will push only VIN, license plate, and odometer in/out back to Shop Ware

Update WO: will push all of the information available, including vehicle information back to Shop Ware (see more detail in the section below)
Note: These buttons must be clicked to send information back to Shop Ware. Information will not send automatically to avoid changes to the work order happening without the Service Advisor’s knowledge.
Supported 2-Way Integration Information
Summary
- Vehicle Information: VIN, YMM, license plate, odometer in
- Technician Assignments: Default Tech
- Inspection Information: Recommended canned jobs, inspection URL
- Job Information: Customer-facing notes & photos
Vehicle Information
From the Autovitals.X mobile application, the Technician can easily gather vehicle-specific information (if needed) from the home screen:
- Press the VIN button to open the camera and scan the VIN tag of the vehicle and this will automatically add the VIN as well as trim level, engine, and drivetrain options
- Press the ENTER ODO button to enter the IN mileage
- Press the Plate button to manually enter the license plate
Once this information is gathered, you will be able to see this information on the Repair Order on your TVP:
After the Service Advisor presses UPDATE VIN/ODO or UPDATE WO button, the following information will be pushed to Shop Ware:
- VIN
- License Plate
- Odometer In/Out
Technician Assignment
Technician assignment can be performed in either AutoVitals or Shop Ware.
- If you assign the Technician(s) in Shop Ware, AutoVitals will detect that assignment and automatically assign the Repair Order to that Technician's tablet and Tech View column on the TVP.
- If you assign assign the Default Technician in AutoVitals, once the UPDATE WO button is pressed, Shop Ware will update the Default Technician in Shop War
Inspection Information
After the Technician has completed the inspection on the AutoVitals.X app, if you have your Shop Ware canned jobs integrated with your inspection sheet (more on that here), those recommended canned jobs will be sent back to the Repair Order in Shop Ware.
Job Information
If the Technician adds information to an approved labor line, that information can be sent back to Shop Ware depending on what information you have enabled to transfer. These options can be found in System Settings via your Today's Vehicle Page dropdown menu.
The options for transferrable information are:
- Add links to inspection results to PoS notes
- Add job notes and links to job images to PoS notes
Job Notes & Photos
If enabled, any approved Customer Notes or Photos in AutoVitals will be sent to the corresponding job in Shop Ware when you select the UPDATE WO button:
Inspection URL
If enabled, a link to the inspection results can be added to the job notes in Shop Ware.
- If a Smart Marker is configured and the work order contains the canned job associated with that Smart Market, the inspection URL will be added to the notes of that job. Also see: Smart Markers
- If a Smart Marker is not configured, then a new job will be added to the work order for Digital Inspection Results with a link to the inspection URL
