What's New?
Confirm customer appointments directly in AutoVitals without switching to Tekmetric. When a customer requests an appointment through AutoVitals, you can review, confirm, or reschedule all from the Conversation Center. One click sends the appointment details to your Tekmetric calendar automatically.
With this new feature, service advisors can manage appointment confirmations from a single system. No more toggling between AutoVitals and Tekmetric to manually enter the same appointment twice.
How It Works
Finding Appointment Requests
When a customer submits an appointment request, it appears in your Conversation Center.
- Navigate to Today's Vehicle Page
- Click the message icon to open the Conversation Center
- Select any appointment request from the list
- Look for the Review & Schedule button at the bottom of the message
Confirming an Appointment
Quick Confirmation (Customer Waiting)
For customers who will wait while their vehicle is serviced:
- Click Review & Schedule
- Select "Stay With Vehicle" from the dropdown
- Click CONFIRM
Done! The appointment is now in Tekmetric.
Tip: If the customer provided an alternative time in their request, it will appear as a selectable option below the originally requested time.
Drop-Off or Tow-In Appointments
If you select "Drop-off Vehicle" or "Towed-in Vehicle", you'll see additional options for transportation.
Transportation Needed?
- Ride Required – Your shop is providing transportation for the customer
- Loaner Required – Customer needs a loaner vehicle
- None – Customer has their own ride
If you select Ride Required or Loaner Required, you'll need to set the Drop-off Time and Pickup Time.
Pro Tip: Add buffer time to your pickup estimates. It's always better to finish early than keep a customer waiting.
Rescheduling to a Different Time
Need to move the appointment to a different date or time?
- Click Review & Schedule
- Select the Reschedule radio button
- Pick a new date from the calendar
- Choose a time from the dropdown
- Answer the vehicle drop-off questions
- Click CONFIRM
Shortcut: If the customer already provided an alternative time in their request, simply select the Alternative option to use that time instead.
After You Confirm
Once you click CONFIRM, you'll see:
- A green confirmation message indicating the appointment was successfully sent to Tekmetric
- The appointment now appears in your Tekmetric calendar
(Coming soon!) Managing Confirmed Appointments
After an appointment is confirmed, you can manage it from Today's Vehicle Page by clicking the three dots on the repair order tile. (Not Yet Supported)
Troubleshooting
If you receive an error when confirming an appointment:
- Click CONFIRM again to retry
- If the error persists, manually enter the appointment in Tekmetric
- Take a screenshot of the error message and report it to AutoVitals Support
