Communicating with Customers
The fastest way to message a customer is to click on their name or the icon next to them.
The communication pop-up for each customer will show you a full history of all their communications.
As well as a window to send a new message to that customer.
Message Templates
To create a custom message template
- Select the preferred message type (1)
- Fill out the Message Body (2)
- Click Templates (3)
- Select one of the following
- Save (4)
- Save template as (5)
- Delete template (6)
To access the available shortcodes that can be used, click the blue "i" icon.
To edit the default Inspection Report message:
- Go to the templates (1)
- Select Work order, Inspection report (2)
- Edit the Message Body (3)
- Click Save template as... (4)
NOTE: be sure to leave the shortcode [URL] in the message body, as that shortcode will attach the inspection result link.
Sending an Inspection Report
To view the customer-facing Inspection Report, click the button called C view.
Once ready to send it to the customer...
- Click the send button (1)
- Work Order, Inspection Report will be selected automatically (2)
- Review the Message Body and edit as needed (3)
- Select the desired message type (4)
- If performing multiple inspections, attach multiple inspections (5)
- Click the Send button (6)
The inspection progress bar will now display Inspection: Sent
Incoming Messages
When a customer communicates back to you, there are two indicators.
- On the tile itself next to the customer's name (1)
- An indicator at the top of the Today's Vehicle Page (2).
Clicking the top icon will bring us to the Conversation Center.
Note: Any and all incoming messages from customers that are unread will appear at the top of the Today's Vehicle Page.
