BayIQ automatically delivers emails to your customers, reminding them to come in for a service. Reminders are sent for oil changes, tire rotations, and state inspections (if applicable). This article will review each reminder and how often it is sent.
Access Your Templates
To access your email templates, select Marketing from your top menu, then Communications.
Note: Users with access to multiple markets will not see a Communications option in the Marketing drop-down menu. Instead, select Settings > Markets, then select your market to navigate to the Communications page.
State Inspections
State Inspection Reminders are sent to customers to remind them when they are due for a state inspection. Choose either 1 or 2-year intervals for this email under the email settings.
Note: Some states do not require an inspection, this email can be disabled following the instructions below.
Rewards
Scroll to your Rewards email templates and select State Inspection Rewards from the list of emails. A preview of the email will display on the right.
Use the selections at the top of the email template to enable or disable the email, update artwork, include a special offer and its expiration, as well as the notification interval. Once you've updated your template, be sure to scroll to the bottom of the page and select Save.
Non-Rewards
Select Non-Rewards to view email templates sent to your customers who are not yet Rewards Members. Then select State Inspection.
Use the selections at the top of the email template to enable or disable the email, update artwork, include a special offer and its expiration, as well as the notification interval. Once you've updated your template, scroll to the bottom of the page and select Save.
Tire Rotations
Reminders for Tire Rotations are sent when BayIQ estimates the customer has reached 6000 miles since their last rotation or if it has been 6 months - whichever happens first.
Rewards
Scroll to your Rewards email templates and select Tire Rotation Rewards from the list of emails. A preview of the email will display on the right.
Use the selections at the top of the email template to enable or disable the email, update artwork, include a special offer and its expiration. Once you've updated your template, be sure to scroll to the bottom of the page and select Save.
Non-Rewards
Select Non-Rewards to view email templates sent to your customers who are not yet Rewards Members. Then select Tire Rotation.
Use the selections at the top of the email template to enable or disable the email, update artwork, and include a special offer if they signup for the Rewards program. Once you've updated your template, scroll to the bottom of the page and select Save.
Oil Change Reminders
Oil change reminders can be triggered in one of two ways.
Factory Intervals
Factory Intervals are provided by the MOTOR database, which provides mileage intervals specific to the make and model of the vehicle.
Dealer Defined Intervals
Dealer Defined Intervals provide the option to choose between four different mileage intervals; 3000, 5000, 7500, or 10000 miles.
Oil change reminders are sent when BayIQ estimates the customer has reached the specified mileage. A customer's mileage is estimated by either a national average of 32 miles per day, or by determining an average daily mileage by comparing the vehicle's mileage between visits.
Example: A customer's mileage at the time of service is 6000 miles. The customer comes back for another service 60 days later and their mileage is now 9000 miles. BayIQ would divide the difference of 3000 by 60 days, giving an average of 50 miles per day driven.
Rewards
Scroll to your Rewards email templates and select Oil Change Rewards from the list of emails. A preview of the email will display on the right.
Use the selections at the top of the email template to enable or disable the email, update artwork, include a special offer and its expiration, or change your filter type; factory, or dealer defined. Once you've updated your template, scroll to the bottom of the page and select Save.
Non-Rewards
Select Non-Rewards to view email templates sent to your customers who are not yet Rewards Members. Then select Oil Change.
Use the selections at the top of the email template to enable or disable the email, update artwork, and include a special offer if they signup for the Rewards program. Once you've updated your template, scroll to the bottom of the page and select Save.
