This guide will walk you through the steps to enable Expiring Points for your rewards program. We'll cover how to configure expiration settings, automate customer notifications, and ensure everything runs smoothly when points expire.
How to Enable
Access Expiring Points Settings
- Click Settings at the top of the page, then Markets.
- Select the Market Name
- Choose Options, then Edit
- Select the Rewards tab
- Scroll to the Point Expiration setting
- Use the ON/OFF toggle to enable the feature
Interval Settings
When the feature is toggled ON two additional fields are displayed
- Expiration Interval
- Reminder Interval
Expiration Interval
Enter the number of months (not days) in which the rewards points will expire.
Reminder Interval
This field is the number of days (not months) before expiration to send the email reminder.
Enable Expiring Points Email
An email is sent to Rewards Customers to notify them their points will be expiring soon.
Enable Email
Turn the Point Expiration Email Settings toggle ON. Enabling the email will also enable the Expiring Points text message.
Email Customization Options
- Subject Line
- Email Body
- Call to Action
- Login to Portal (Always included)
- Schedule Appointment
Use the button settings to customize your Button Text, Button Text Color, and Button Background Color.
The button colors will default to your brand colors specified in your Communication Settings.
Schedule Appointment Call to Action
- The Schedule Appointment Call to Action URL will default to the Scheduler URL in your hyperlink settings (see image below)
- Update the appointment call to action URL using the Button URL field.
Save Rewards Settings
When your Expiration and Reminder Intervals are set, select Save Rewards Settings at the bottom of the page.
Confirm
Your customers must be notified they have points that will expire before expiration begins. When the email status is ON and Point Expiration Settings are saved, a popup will be displayed to confirm expiration details.
Once enabled, your customers will be sent the Point Expiration Email or text message immediately. Points will begin to expire after the number of days entered in your Reminder Interval setting has passed.
Example:
- Point expiration was enabled on 3/31/26.
- The Reminder Interval is set to 60 days.
- The email will be sent immediately after Ok is selected
- Points will begin to expire on 5/30/26.
How Points Expire
Depending on the Expiring Points interval selected for the market, points will expire at the interval setting time selected + 2 additional days.
Example: 12 months + 2 days
Note: The purpose of the additional 2 days is to allow the customer to redeem their rewards points on the same day points expire and account for any delays in receiving POS data.
Removing Expired Points
When the expiration date + 2 days is reached, a point adjustment is applied to the Rewards Account with the note "Points Expired".
Viewing Point Expiration Date
The point expiration date can be viewed in three places: the Customer Portal, Account Information Page, and Customer Terminal.
Customer Portal
Rewards customers will see the date their points will expire under the point balance in their Customer Portal.
Terminal
BayIQ customers using a 1-way integration can view the point expiration date in the customer terminal under the customer name and point balance.
