How Vehicles Get Into the List
A vehicle is added to your list in one of these ways:
- Someone at your shop opened the Mastertech tab on that vehicle in AutoVitals. The vehicle appears as soon as the tab loads.
- A work order or repair order was created or updated in your point of sale.
- Someone added the vehicle manually inside Mastertech, by VIN or by year, make and model.
Searching for a VIN inside the app does not add a vehicle to the list, and neither does reloading the page.
Finding a Vehicle That is Not Showing
The list shows your 100 most recent vehicles, and only those dated today or within the next two days. If you do not see the vehicle you want:
- Search by VIN or by repair order number.
- If the vehicle has a future appointment more than two days out, it will appear on its own when that date comes closer. No action is needed.
- If the vehicle is older than your 100 most recent, it is still in Mastertech. Opening the Mastertech tab on it in AutoVitals brings it back to the top of the list.
Why the Dates May Not Match Your Repair Orders
The date on each entry is a relevance date, not the date the record was created. Think of it as when the vehicle was last worth someone's attention. A vehicle moves to today whenever someone opens the Mastertech tab on it, whenever it is re-added by VIN, and when a new point-of-sale event comes in for the same visit on a later day. Re-running a report or syncing an odometer reading does not move it.
This is why you may see a vehicle at the top of the list that nothing happened to in your point of sale. Usually it means someone on your team looked it up.
If You See a Vehicle You Do Not Recognize
In order of likelihood:
- Someone opened the Mastertech tab on it. This is the most common reason and it leaves no trace in your point of sale. An advisor browsing a vehicle is enough.
- There is a future appointment. A scheduled work order can create the vehicle ahead of the appointment date.
- Someone added it by hand. Manually added vehicles have no mileage and no linked repair order.
- A VIN was corrected. When a VIN is fixed in AutoVitals, Mastertech moves the record to the corrected VIN, so the old entry disappears and what looks like a new one appears.
If none of these explains it, contact support with your shop name, your Mastertech Org ID, the VIN, and what you expected to see.
