Primary & Proxy Production Managers

To ensure smooth shop operations and clear task ownership, AutoVitals allows you to assign specific responsibilities to individual employees. Whether it's dispatching technicians, reviewing inspections, or managing reports, defining task roles streamlines your workflow and boosts team accountability. This article will review Primary and Proxy Production Manager features. 

Production Manager Features

Permissions

  • Production Managers can reassign all tasks (even those assigned to others).

    • NOTE: If no Primary or Proxy Production Manager is logged in the SA's are then allowed to assign themselves tasks from others.

  • The triangle icon with an exclamation point at the top of the TVP indicates when a Primary or Proxy Production Manager is not logged in
    • NOTE: This is an indicator for SA's to assign tasks to themselves if necessary 

  • Auto-generated tasks can be assigned to the Production Manager(s) instead of going to the default Service Advisor assigned to the RO. To learn more about auto-generated tasks click here.
    • NOTE: The production manager may be the person responsible for completing the task or be responsible for assigning them to the appropriate person in the shop to best manage the shop's workload.

User Settings

Creating a Primary or Proxy Production Manager

  1. Access Settings
  2. Then select Users > Service Advisor
  3. Select the pencil icon next to the user you would like to update
  4. Check the box for either Primary Production Manager or Proxy Production Manager

Note: There can only be ONE Primary or Proxy Production Manager at a time.

Production Manager Vehicle Chat Settings

Access Notification Settings

  1. Access Settings 
  2. Select General then Service Advisors
  3. Scroll to Include Primary & Proxy Product Managers in All Vehicle Chats

When the selection is NO: 

  • If the Primary Production Manager is online
    • Primary is added to the vehicle chat
    • Proxy is not added to the vehicle chat
  • If the Proxy Production Manager is online
    • Only added if Primary is offline
  • If both the Primary and Proxy Production Managers are offline
    • Both Primary and Proxy are added to the vehicle chat

When the selection is YES:

The Primary Production Manager and Proxy Production Manager will be included on all vehicle chats - regardless of online status.

 

Frequently Asked Questions

Q: Why am I not able to see or apply the Production Manager/Proxy?

A: Production Managers/Proxies are features only available in our Smartflow.X package.

 

Q: Why am I unable to assign a task to myself?

A: If there are Production / Proxy Managers assigned and logged in, reassigning tasks will need to be completed by one of them.
