Task Manager Requirement
For vehicles to automatically move into the Estimate Workflow step, the Task Manager setting must be enabled within the System Settings page. To enable this setting:
- Navigate to your shop Settings.
- Select the Workflow tab on the left.
- Select General.
- Select the On toggle next to Task Manager.
-
Navigate to the Automatically Generated Tasks section at the bottom of the screen. Verify that the Review Inspection Results task is selected.
- Select Submit Changes at the bottom of the screen.
How Vehicles Move Into the Estimate Workflow Step Automatically
When a technician completes an inspection in AV.X and submits the vehicle, AutoVitals creates the "Review Inspection Results" task with four subtasks:
- Browse Topics
- Edit Images
- Send Inspection Results
- Create Estimate
The vehicle moves to the Estimate workflow step automatically when the Service Advisor opens the Images/Notes Editor. This action completes the "Browse Topics" subtask, which triggers the workflow step change.
You will see a message in the Vehicle Event Log stating: "Completion of 'Browse Topics' task action moves work order to Estimate workflow step". You do not need to finish editing all notes and images for the vehicle to move to the Estimate step. Simply opening the Images/Notes Editor is sufficient to trigger this workflow change.
Example of the Process Steps
Prerequisite: Validate the Task Manager and Review Inspection Results settings are enabled in System Settings.
1. Complete the inspection in AV.X and select Submit.
2. Select the RO tile in TVP and navigate to the Inspection Reports tab. Open the Images/Notes Editor.
3. Exit the Images/Notes Editor and you will see the Workflow step automatically changed to Estimate.
Key Points
- The workflow change is triggered by completing the "Browse Topics" subtask, not the "Edit Images" subtask.
- This happens automatically when opening the Images/Notes Editor, regardless of whether any edits are made.
- There is no way to disable this automatic workflow progression.
- If the "Review Inspection Results" task was never created (because the technician never submitted the vehicle in AV.X.), the automatic workflow change will not occur.
